The Team

The mission of the Global Policy & Advocacy (GPA) division is to understand and shape the public policy debates affecting the foundation�??s work, build support for its major program and policy objectives, and develop partnerships and alliances that can advance the foundation�??s objectives nationally and globally. Because the foundation�??s resources alone are not enough to solve the challenges ahead, GPA also supports advocacy efforts to engage diverse stakeholders and promote innovative solutions that advance our program goals. We work in close partnership with grantees, our colleagues in the Global Health, Global Development, Global Growth & Opportunity, U.S. and Gender Equality programs and Foundation Communications to build the environment in which all people have the opportunity to lead healthy and productive lives.

The Program Advocacy and Communications (PAC) team works in partnership with program teams and other teams in Global Policy and Advocacy (GPA) to achieve their policy and finance goals by:

  • Developing and coordinating the execution of advocacy and communications strategies.

  • Leveraging leadership and foundation voice to implement advocacy strategies.

  • Developing and managing grant portfolios dedicated to achieving advocacy outcomes.

  • Directly advocating with sector leaders, influencers, media and government officials to achieve advocacy outcomes.

  • Leading issue-specific communications in service of advocacy goals.

  • Developing policy recommendations or proposals in partnership with programmatic and regional offices.

Your Role

The Senior Program Assistant (SPA) provides a wide and varied set of administrative and organizational support for the team and at least one Director of the PAC team and other team members (Deputy Director, Senior Program Officers), to be determined. We are looking for someone who is interested in acting as a thought partner with the director and leadership team, proactively finds and solves issues both administratively and regarding team culture, brings a desire to learn and a humble mindset to the work, and has a track record of turning ideas into action plans. Efficiency, attention to detail, flexibility, good judgment, and confidentiality are essential in this role to ensure smooth team operations. This role will likely have people management responsibilities and manage several of the team�??s Program Assistants.


What
You�??ll Do

  • Manage constantly changing, complex calendars including meetings with participants in multiple time zones, both internal and external to the foundation. Proactively anticipates needs �?? weekly planning, resolving scheduling conflicts, optimizing short- and long-term schedule, agenda planning and reminders.

  • Provide strong people management to PAC Program Assistants, including workload balancing, onboarding and continual support for optimal performance in role.

  • Provide operational support, including, but not limited to, knowledge management, maintaining an organized virtual filing system, creating/tracking team meeting agendas, capturing action items from key meetings/convenings.

  • Manage domestic and international travel arrangements and itineraries, including international visa applications.

  • Support the PAC Leadership Team and Directors�?? Office, including active participation in development of agendas, action items and notes.

  • Provide broad ranging support to the overall PAC Team, including logistics for team meetings, knowledge management and culture.

  • Able to undertake records and data management, including, but not limited to, management of the team SharePoint site, maintaining an organized filing system etc.

  • Assist with the planning for events, meetings, conferences, retreats and presentations.

  • Work on team-specific special projects, as needed.

  • Interact, and communicate clearly and consistently with grantees and partners.

  • Partner with other PAC SPA to maintain and drive the reputation of PAC within the foundation.


Your Experience

  • Bachelor�??s Degree with 3+ years of experience, or equivalent experience.

  • Experience with people management and strong interpersonal skills

  • Experience supporting high-level individuals, across multiple time zones, different cultures and work styles

  • Excellent oral and written communication skills; must be able to communicate effectively with internal and external contacts and have the ability to adjust to a wide variety of working styles.

  • Proficient with MS Office Suite.

  • Ability to work with flexibility, efficiency, enthusiasm, and diplomacy both individually and as part of a team effort.

  • Proven ability to lead and influence others. Demonstrated ability to work with efficiency, diplomacy, and flexibility particularly as part of a team.

  • Demonstrated passion for the foundation�??s values with commitment to deliver results against the foundation�??s mission.

  • Must be able to legally work in the country where this position is located without visa sponsorship.

The typical salary range for this role is $24.72/hr. to $45.32/hr. USD. The exact offer will be determined by a variety of factors such as the candidate�??s individual skills, qualifications, and experience relative to the requirements of the role.
