Primary Duties and Responsibilities:
The Marketing and Communication Division at College of DuPage seeks a well-organized, self-starter to join its award-winning team. This position works closely with the Vice President for Public Relations, Marketing and Communication and Senior Manager, News Bureau and Community Engagement to plan, coordinate, execute and evaluate major media outreach initiatives, community engagement events in support of the College of DuPage's mission and Strategic Long-Range Plan.
  • Serve as lead for all aspects of interdepartmental and external event and project operations spearheaded by the Marketing and Communications Division.
  • Create long- and short-term plans, including setting targets for milestones and adhering to deadlines for key College initiatives, including community service programs and civic engagement activities.
  • Work closely with the Senior Manager, News Bureau and Community Engagement, on presidential visibility, public relations and community outreach activities that support the College's mission and Strategic Long-Range Plan, and elevate COD's standing within the communities it serves.
  • Maintain adequate inventory of supplies, purchase new materials/supplies as needed for College events.
  • Serve as of point contact during all project phases for Marketing and Communications Division leadership and stakeholders to keep project aligned within scope, including tracking progress of all project details, creating reports/updates as requested/needed throughout various stages of assigned projects.
  • In coordination with members of the Marketing and Communications Division leadership, establish project budget and work within the confines of individual project/initiative/campaign budgets, tracking all expenditures.
  • Produce post-event/initiative reports, summarizing overall execution, expense, attendance, etc. to inform on future planning efforts.
  • Research vendors, obtain quotes and execute event-related contracts under the direction of Marketing and Communications Division leadership.
  • Coordinate design and creation for event materials, including invitations, graphics and displays.
  • Coordinate with staff to establish event logistics, themes, and maintain run of show documents including schedule of practices/rehearsals
  • Work with College departments (Sodexo, Facilities/Custodial, Conference and Events Services, Multimedia Services) to coordinate event day services.
  • Create and maintain run-of-show documents for College events, including schedule of practices/rehearsals in collaboration with Public Relations and Community Engagement team members.
  • Solicit and coordinate event volunteers with assistance from Community Engagement staff.
  • Manage and restructure project timelines/milestones effectively and efficiently as required while staying within budget and scope.
  • Build proposals and client presentations for major College events/initiatives as needed.
  • Other duties as assigned.

Qualifications:
  • Education
    • Bachelor's degree or Associates degree with equivalent years of experience required.
    • CVENT certification or project management credentials preferred.
  • Experience
    • Three to five (3-5) years demonstrated experience in event planning, coordination of events or program management required.
    • Experience working with internal and external stakeholders, including budgeting, required.
    • Excellent verbal and written communication and presentation skills, ability to follow through on multiple projects simultaneously required.
    • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) required.
    • Attention to detail and accuracy required.
    • Must be self-motivated, organized, resourceful and have the ability to problem solve.
    • Experience in higher education, familiarity with DuPage County region and resources preferred.

  • Computer, copier, fax and multi-line telephone.
  • General office environment with a high level of visibility.
  • Must be able to work occasional early mornings, weekend and evening hours.
  • Lifting up to 30lbs during event preparation and operation.
  • This position requires a background check and drug screen.

Pay Grade:
Classified 13 Salary-Hiring Range: $ 56,000.00 - 61,000.00

Competitive starting salaries are dependent on education and experience. College of DuPage also offers a generous benefits plan.
